Cost share verification forms due

Verification forms for cost share through June are due July 25. If you have not already done so, please return the completed forms to KUCR Sponsored Program Administration.

Relocation reimbursement guidelines

Unclassified faculty or staff who relocate more than 50 miles for a new job at KU can be reimbursed for moving expenses at the discretion of the department. KU personnel who offer relocation reimbursements should be aware that certain conditions apply, such as:

  • Only KUEA (725) or KUCR (720, 721) funds may be used to cover these costs. No state funds may be used.
  • Because of possible tax implications to the employee, it is preferable for KUEA or KUCR to pay third-party movers directly, rather than make a payment to the faculty/staff member.
  • Prior notification of use of KUCR funds expedites the reimbursement process. Contact Barbara Armbrister, Director, Research Administration, to discuss arrangements when using KUCR funding.

Effort Reporting

Effort reporting is a method of certifying that effort compensated by or contributed to a sponsored research project has been completed as promised in the proposal. Commitments made in a proposal are considered a condition of the award. These commitments must be maintained throughout the life of the project unless revisions are approved by the sponsoring agency.

KU's effort reporting requirements, like those at other research universities, are federally regulated. Compliance with these regulations demonstrates proper stewardship of federal research funds. Recently, research institutions' methods of tracking effort — including cost sharing — have attracted federal audit attention. Effort reports must accurately reflect work performed on the project.

All KU principal investigators are required to certify their effort and the effort of their staff. The current process for verifying cost shared effort is completion of the Cost Share Detail Report on a quarterly basis. Work toward an automated tracking mechanism is ongoing.
